Cancellations & Deposits

Lodging reservations require a deposit equal to one night’s stay or 50% of total reservation with tax at the time of booking. Cancellation policies and charges vary based on season, length of stay and quantity of guests - see details. Nights cancelled due to early departure are non-refundable.

We are a small venue and advance notice is imperative to our ability to accommodate guests.

Policies are non-negotiable. We highly recommend trip insurance in the event you may need to cancel.

Winter, Spring and Fall season reservations

Cancellations made more than 7 days in advance of arrival date will receive a refund of deposit less a 7% processing fee. Cancellations made less than 7 days prior to arrival forfeit deposit.

Summer season reservations

Cancellations made more than 30 days in advance of arrival date will receive a refund of deposit less a 7% processing fee. Cancellations made less than 30 days prior to arrival forfeit deposit.

All-inclusive packages, groups of 8 or more and/or stays longer than 3 nights

Cancellations made more than 30 days in advance of arrival date will receive a refund of deposit less a 7% processing fee. Cancellations made less than 30 days prior to arrival forfeit deposit.

Fishing

Guided fishing trips require a deposit of 50% at the time of booking. Most bookings for fishing are made through your outfitter. Cancellations made more than 90 days in advance of booked trip will receive a refund of deposit less a $100 processing fee. Cancellations made less than 90 days prior to scheduled trip are non-refundable. Requests to reschedule an existing trip are treated equal to cancelling and rebooking a new trip.

Events

Events reserving private dining, meeting or gathering spaces require a deposit in the amount of a variable venue fee upon booking. Cancellations made more than 30 days in advance of arrival date will receive a refund of deposit less a 7% processing fee. Cancellations made less than 30 days prior to arrival forfeit deposit. Event bookings require a guaranteed guest count 7 days prior to event date. Adjustment to guaranteed guest count less than 7 days in advance will be charged full menu prices. Cancellations made less than 7 days in advance will be charged 50% of quoted menu prices. Custom menu requests require a deposit in the amount of 50% of quoted menu price and are subject to the same cancellation policies as events.

Group Reservations

Reservations committing to 6 or more rooms require a deposit of 50% of total reservation with tax at the time of booking. Summer season reservations and event bookings of all 12 guest rooms: the remaining balance is due 30 days prior to arrival. Winter, spring and fall reservations: the remaining balance is due 7 days prior to arrival. Cancellations made more than 30 days in advance of arrival date will receive a refund of deposit less a 7% processing fee. Cancellations made less than 30 days prior to arrival forfeit deposit.

Pets

We happily welcome service animals and canine companions. Non-animal-friendly rooms are specified for guests with allergy sensitivities. There is a $50 per night fee. Maximum of 2 furry friends. Pets are asked to be supervised or crated at all times. Pets are not allowed to stay at the lodge while owners depart for the day. We are happy to recommend pet-sitting services in the area. All ADA certified dogs need proper paperwork to prove certification.

Rates

Rates are subject to change based on availability. Listed rates are based on double occupancy for each room booked. Additional guests can be accommodated in certain rooms for $35 / per guest / per day.

Agent and Check Payment Reservations

Reservations booked through third-party travel agents and guests paying via check will be confirmed when check deposit is received. The remaining balance is due 7 days prior to arrival. A listed credit card on file is still required to confirm the reservation.

Concierge Services

All concierge services facilitated by the Gallatin River Lodge staff are subject to a 15% service rate. Guided fly fishing and in room massage services are exempt from concierge charges.

Massage

In room massage appointments scheduled in advance require full payment as a deposit. Cancellations made more than 24 hours in advance will be refunded deposit less a 7% processing fee. Cancellations made with less than 24 hours’ notice will receive a 50% refund or be billed 50% of service rate.
